Creating and Processing Partial Applications with One‑Step Signatures

This guide explains how customers and signers will experience the Partial Application process when One-Step Signatures is enabled. It is designed for training sessions, onboarding, and customer education.

1. What is a Partial Application

A partial application allows a customer or signer to complete only the sections that apply to them. When a principal is selected, a new option called One-Step Signatures appears. If this option is selected, the system will automatically send the application for signatures once all required information is complete.

2. What Customers Will Experience

United States Applications

When the signer opens the partial application:

1. They will see a message explaining that the application will be sent for signatures after they submit their information.

2. When they click Submit, the confirmation message will explain the signature process.

3. After confirming, they will be taken to a page where the system checks the information. A progress bar will show the steps being completed.

The signer can close the window at any time. The system continues working in the background.

When the process finishes:

- The signer sees a success message if they kept the window open.

- The representative receives a notification.

- The signer receives a signature request email.

- The application moves to Out for Signatures.

- A signing envelope appears on the application overview.

- A note is added to the application confirming it was automatically sent for signatures.

Canadian Applications

The experience is the same as the United States flow, with one additional step.

If a Code of Conduct document does not already exist, the system will automatically create it during processing. This may require a page refresh to appear.

All other steps match the United States experience.

3. Multiple Recipients

If an application has more than one partial application:

- When the first signer submits their partial application, the system will merge it but will not send the application for signatures yet.

- A message will explain that other partial applications still need to be completed.

- The representative will receive a notification and an email explaining that the application cannot be sent for signatures until all partial applications are finished.

- A note will be added to the application.

Once the final partial application is submitted and the application is complete, the system will automatically send it for signatures.

4. When the Application Is Not Complete

If the final application becomes incomplete for any reason, the system will not send it for signatures. This can happen if:

- The partial application includes invalid information, such as ownership percentages that add up to more than 100.

- A required field on the main application is missing.

In these cases:

- The signer will see a message explaining that the application requires review.

- The representative will receive a notification and an email.

- A note will be added to the application.

The representative can then correct the issue and continue with the normal process.

5. When a System Error Occurs

If an unexpected error happens during the automated process, the system will stop the automatic send and notify the representative. Examples include:

- Errors validating the application

- Errors merging data

- Errors generating documents

- Errors preparing the application for signatures

- Errors sending the signature email

In these cases:

- A notification is sent

- An email is sent

- A note is added to the application

The representative can then continue using the standard manual process.

Steps to Send a Partial Application Using One‑Step Signatures

1. Open the Application

- Start from the main application you want to collect information for.

- The application does not need to be complete at this stage.

- The only requirement is that the application must be complete after the partial information is merged.

2. Create a Partial Application

- Click the [Partial] application button.

- Select the principal who needs to provide information.

3. Enable One‑Step Signatures

- After selecting the principal, look for the checkbox labeled One-Step Signatures.

- Check this box to allow the system to automatically send the application for signatures once all required information is complete.

4. Send the Partial Application to the Signer

- Send the partial application to the signer so they can complete their portion.

5. Signer Completes Their Portion

- The signer opens the link.

- They complete the required fields.

- They submit and confirm.

- They see a message explaining that the application will be sent for signatures after they submit or will indicate further Attention is required.

6. System Processes the Submission Automatically

Once the signer submits:

- The system verifies the information.

- The partial application is merged into the main application.

- Any required documents are created (including Code of Conduct for Canada).

- The application is packaged for signatures.

- The signing request is sent automatically.

7. Confirmation and Notifications

After processing completes:

- The signer receives a signature request email.

- The representative receives a notification and an email confirming the auto‑send.

- The application moves to Out for Signatures.

- A signing envelope appears on the application overview.

- A note is added to the application confirming it was automatically sent.
