Set User Permissions to give or restrict access to Merchant or Commission information per each user or set for all users via Global permissions.

Who can access User Permissions?

User Login Policies can be accessed by an Office Staff user assigned to the “Main” Company division, have user permission to "User Permissions" and they must have access to the Admin area.

Instructions

To change user permissions select the Administrator tab and then select User Permissions in the User Admin Menu.

User Permissions Tab (sales and lead source users)

  • To set Global Permissions select Global Permissions located at the bottom left of the table. In the Permissions box check each item you want users to access and uncheck items you do not want users to access.

  • To set individual permissions, locate the user or users and check the box to the left of their record in the table then select Modify Permissions located at the bottom left of the table. In the Permissions box check each item you want users to access and uncheck items you do not want users to access

Sales and Lead Source Permissions

View Merchant Equipment

Check this box to allow the sales representative to view the merchant's equipment and coding information.

Self Generated referral form duplicate check

Check this box if you want the system to notify the rep when they try to add a lead that has an identical DBA name in the system.

Can View Call Notes

Can view Elavon calls notes in the Merchant's card data.

View Merchant Contact Info

Permit to allow the viewing of essential merchant contact information.

View Merchant Statements

Permit the access to merchant statements.

See residuals from Processors to MSP in Reports

Allow the user to view the "Amount Due MSP" aka processor residual amount in their commission reports.

See Modified Residuals (bucket) amount in reports

When Expenses and business cost rules are subtracted from the Gross the AMT due Net remains. This is the rep's profit bucket.

Can see BP Spread in commission reports

The BP Spread is a simple calculation that indicates the profitability of an account based on the pricing given to the merchant. Checking this box displays that figure.

View Merchant Volume

Allow the user to view the merchant's monthly transaction count and processing volume.

View Merchant Batch Info

Allow the user to view the merchant's batch information.

Access Merchant Qualification Report

The merchant qualification report reveals amounts paid to the MSP and amounts reserved for the MSP from applied custom cost rules. Un-check to reserve this area from the user's view.

Can see Amt due Gross (rev-exp) in reports

When Expenses are subtracted from the total Revenue the AMT due Gross remains.

Commissions Only User

Lead source and sales users can have their access restricted to only Commissions reporting.

Can see transaction count in commission reports

For the month shown, by having this box checked, the user can see the transaction count.

Can see Split value in Commission Reporting

Payee can view their commission % amount in the commission reports.

Can see commission transaction detail report

The commission transaction detail report displays bucket modifications from additional processor costs, exemptions and commission runner rules.

Can see Other Volume in reports

"other volume" is an option to add an additional volume data imported from a processor residual file.

Can see Other Transactions in reports

"other transactions" is an option to add an additional transaction data imported from a processor residual file.

Staff Permissions

Staff permissions encompass all the admin tools as well as a few other permissions regarding access to the admin area and access to merchant data, such as bank account and routing number.

Staff "Admin Permissions" (add/remove admin tools)

Each tool in the admin area is contained within admin tab menus. In Staff permissions each admin tab menu is shown collapsed and once expanded, each admin tool is shown with a checkbox. If the staff user's admin tool permission is checked they will have access to the admin tool. Simply uncheck to remove the user's access to the admin tool. Once removed the user will no longer see the admin button for the tool and is barred access.

Note: Unlike sales and lead source users there is no way to "login as" an office staff user. This means it is wise to complete permission setups prior to providing the staff user access, and even confirm the settings by using the user's credentials to login and verify.

Staff "other permissions"

  • Can see Merchant Banking information determines user's access to a Merchant's account and routing number.

  • Access Merchant Qualification Report shows a summary of Elavon residual income and expenses and the gross amount due.

  • Can See MSP Revenue in reports shows the AMT due MSP AKA Gross residual amount.

  • Can Modify Batch title allows the user to change calculated and published batch names.

  • Office staff without administrative abilities removes the Administrator tab from the user's view and restricts access to admin tools. Great option for customer support who does not need admin capabilities.

  • Can submit application to processor allows the staff user to promote an application to the processor aka submit to underwriting for approval.

Staff Permissions by Division

Staff permission by division allows you to apply permissions to every staff user in the selected division. The same permissions that are available in Staff permissions are here as well.
