How to set up your Application Work Flow - Application Statuses

Applications proceed through a series of statues prior to being sent to underwriting. You can edit the settings for each status

Applications statuses are essential to the progress of an application through your application workflow. Statuses determine who can edit the application, at which stage of the process the application is in, who is alerted when the application is escalated or demoted, and the title and color of the status’s label. By default, the system is set up to have the application editable by a sales user or office staff user when in a “NEW” status. Then the application is escalated by a simple push of a button to “Submitted for Review”. “Submitted for Review” implies that an Office Staff is the only user that can demote or escalate the application as well as edit the application. If demoted from “Submitted for Review” a status of “Returned by Office” is applied and the Sales user can again edit the application and resubmit to the Office Staff user. If the application passes inspection it will be escalated to Elavon fulfillment and the status “Received by Processor” is applied. Once successfully submitted the application will move from the paperwork folder to the submitted folder and an AWB number will be assigned to the record. The AWB number can be used when contacting Elavon so Elavon can easily locate the application.

Instructions

To edit the application workflow statuses select the Admin tab, select the Company tab, then select Application Statuses.

Create/Edit a Status

  • Locate the status you would like to edit and select the Edit icon (pencil).

  • To create a status, select the Create button.

To change the status name select the corresponding field and enter the changes. To change the escalation setting of the status select the Promotion Status menu and select the status you want the application to escalate to after the current status. Keep in mind, in order for the application work flow to work correct Promotion and demotion statuses must maintain a connective workflow or the buttons to promote or demote will go missing or will not work. To change the demotion status select the Demotion Status menu and select the status you want to apply when the application is demoted.

Editable check box and At MSP Office: In order for the application to be edited the Editable checkbox must be selected. When editable is checked a Sales user and Office Staff user can edit the application. When Editable and At MSP Office is check only an Office Staff user with access to the application can edit the application. The sales user can view the application but it is Read-only.

By checking Require 100% Completion the application cannot be Promoted unless the application form is 100% complete.

Check Notify Rep to send the Sales User an email when the status is applied.

Check Send Documents to include the paperwork with the email alert when the status is applied.

Apply a color scheme to your labels by selecting the Label Color menu and then select the color you want to represent the status. Perhaps RED means the application requires attention and so a good status to be colored red may be “Returned by Office”.

Notify emails is very important. You will want to add email address for each status if anyone who is not the Sales User needs to be notified when a status is applied. For example if I have a boarding team I want to send my boarding team an email each time a Sales User escalates an application to “Submitted for Review”.

Delete a Status

To Delete a Status select the Delete icon in the status table. If a status is defined by an Elavon process or is a required status you will not be able to delete and a message will appear telling you it cannot be removed.
